Privacy policy

Who we are

This policy explains how Flexi Realtors (Realtors Pty Ltd, ABN 12 687 985 173) — "we", "us" — collects, uses, holds and discloses personal information. We handle it in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

Only what we need to do the job you have asked us to do. Usually that is:

• your name, phone number, email address and postal address;
• details of a property you want to sell or have appraised, or the kind of property you are looking to buy, including your budget and preferred areas;
• what you tell us in an enquiry, a phone call, a text message or an email, and our notes of those conversations;
• identity documents, when the law requires us to verify who you are (see below);
• basic technical information when you use this website, such as the pages you visit and your browser type.

We collect it from you directly — through this website, by phone, text, email or in person. Sometimes we receive it from someone else with your agreement, such as a developer, another agent, a solicitor or conveyancer, or a person who referred you to us.

Phone calls

Calls to our office number may be answered by an automated assistant when we cannot pick up. Those calls may be recorded and transcribed so that we can return your call with the right information and keep an accurate record. If you would rather not be recorded, say so, or contact us by email at hello@flexirealtors.com.au.

Identity checks

For some transactions, Australian anti-money laundering and counter-terrorism financing law requires us to verify your identity and to keep a record of that check. We collect identity information for that purpose and keep it for as long as that law requires.

How we use it

• to respond to your enquiry and give you the service you asked for;
• to arrange and carry out an appraisal, an inspection or a sale;
• to tell you about properties or developments that match what you have told us you are looking for;
• to meet our legal obligations as a licensed estate agent;
• to run, secure and improve our business and this website.

Who we share it with

We do not sell your personal information. We share it only when it is needed for the reason you gave it to us, or when the law requires it:

• the developer, or the developer’s sales agent, of a project you have registered interest in or asked about;
• buyers, sellers, solicitors, conveyancers and lenders involved in a transaction you are part of;
• the service providers who run our systems for us — our customer relationship software, email, phone and text-message services, and website hosting;
• government agencies, regulators and courts, where the law requires or allows it.

Some of those service providers store information on servers outside Australia, including in the United States. We use providers who protect information to a standard comparable to the Australian Privacy Principles.

Marketing

We will only send you marketing about properties or our services if you have agreed to it or would reasonably expect it from your dealings with us. Every marketing email and text message tells you how to stop them, and we act on that promptly. You can also ask us at any time and we will add you to our do-not-contact list.

Keeping it safe

We hold personal information in secure, access-controlled systems and limit access to the people who need it to do their work. When we no longer need information and the law does not require us to keep it, we delete or de-identify it.

Seeing or correcting your information

You can ask for a copy of the personal information we hold about you, or ask us to correct it, by contacting us at hello@flexirealtors.com.au or on 0485 067 527. We will respond within 30 days. In the rare case we cannot give you access, we will tell you why.

Complaints

If you are concerned about how we have handled your personal information, contact us first at hello@flexirealtors.com.au and we will try to put it right. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
